Tools We Use to Simplify Your Experience

Here’s a quick overview of the tools we use and how they help streamline communication:

Web Organizer/Portal

The web organizer helps us capture key life updates (e.g., marriage, new dependents, retirement) and provides a secure space for uploading documents.

  • You can upload documents as you receive them—no need to wait!
  • You’ll receive reminders and updates as your return moves through preparation, review, and completion stages.
  • If you misplace your web organizer link, don’t worry — notifications include instructions to access it.
  • E-Signature is also requested via the portal must be completed by the taxpayer (and spouse).

Communication Steps

To manage requests and ensure timely completion of your return, we follow these steps:

  1. Initial Requests: We will send two email requests through the portal for missing documents or information, spaced three business days apart. Please note that delays in providing the necessary documents may impact our ability to meet the our target three-week turnaround time from the date your completed organizer is received. Timely responses help us keep your return on schedule and avoid unnecessary delays.
  2. Follow-Up Call: If we do not receive the requested items after the second email, we will follow up with a phone call five business days after the last email was sent.
  3. On Hold Status: If we still don’t hear back after three attempts, your tax return will be placed on HOLD, and an extension will be filed based on the information we have. Once we receive your response, your return will be placed at the end of our queue. Due to staffing constraints and the strict IRS deadlines, delays in providing the necessary information may limit our ability to complete your return on time. This could result in the need to file an extension or, in some cases, the return being filed late. Prompt responses are crucial to avoid these outcomes.
  4. Tax Return Review Meeting: Once your tax return is prepared and reviewed, we will schedule a Tax Return Review Meeting to go over the results. During this meeting—conducted in person or online—we’ll review key details, including any amounts owed or your refund, and address any remaining questions you may have.
